Medication Management

Medications will be refilled during your appointment so you don't run out before your next visit. 

You must come in person for an appointment to talk about needing controlled medications, whether you are a new or returning patient. 

If you miss an appointment and run out of non-controlled medications (your antidepressant), they can be refilled one time only between appointments, at your provider’s discretion. However, Controlled medications can only be prescribed during your appointment.  

We do not refill medications after office hours, on weekends, during holidays, for people who often miss appointments, or if there is a worry about medication misuse. 

Our practice reserves a right to review PDMP (Georgia Drug Monitoring Site) for New patients, and an existing patient who receives controlled medication.  

Late Fee and Cancellation Policies

Late Shows. Our late show policy seeks to strike a balance between a patient’s need for treatment and respect for other patients and clinicians. Therefore, patients acknowledge and agree to the following policy:

  • For a 30-minute appointment

    • If you are less than 15 minutes late, the visit may proceed but will end at the originally scheduled time. An additional make up appointment may be required to complete the goals for this visit.

    • If you are 15 minutes or more late, the patient will be considered a no-show whether the patient actually shows and the visit will not proceed. A no-show fee equal to the fee for the originally scheduled visit will be charged.

  • For a 60-minute appointment, including new patient visits

    • If you are less than 25 minutes late, the visit may proceed but will end at the originally scheduled time. An additional make up appointment may be required to complete the goals for this visit.

    • If you 25 minutes or more late, the patient will be considered a no-show whether the patient actually shows and the visit will not proceed. A no-show fee equal to the fee for the originally scheduled visit will be charged.

  • The clock we will use to determine lateness is the one maintained by the U.S. National Institute of Standards and Technology which can be accessed at www.time.gov

To Cancel an appointment, BMH Psychiatry requires patients give 24-hours notice by either canceling their appointment through the patient portal or our Contact Us page on our website (www.bmhpsychiatry.com/contact-us). Otherwise, you will be billed 50% the cost of the services. Please be aware that insurance carriers will not reimburse you for cancellation charges.

Frequent Late-shows or late cancellations may result in BMH Psychiatry discharging a patient.

Charges & Payments 

We accept all major credit cards and ACH/Wire Transfers. Payment for is due at the time of service. This includes co-pays, co-insurance, remainder of what insurance fails to reimburse, or self-pay. We require that a credit card be placed on file and will work with a credit card processor that securely stores the information according to industry standards. We will charge the payment method on file after sessions according to our fee policies.

Individuals who cancel or reschedule initial consultations may be re-booked at the discretion of the clinician. Typically, no more than one re-scheduling in advance is permitted for an initial consultation. Patients or the responsible financial party are responsible for any fees due to insufficient credit or funds. 

For delinquent bills, BMH reserves the right to terminate treatment and/or use legal means to secure the payment. This may involve hiring a collection agency or going through small claims court. If any such action is necessary, its costs will be included in the claim in addition to a 15% penalty for the cost of funds. 

We understand that credit card fraud is common and from time to time we learn a charge has been disputed by the financially responsible party. We also recognize that billing errors can occur on our end as well. We ask that any disputes or concerns about billing be handled first by contacting us directly rather than disputing a charge with the credit card company. Disputing charges for services agreed upon and rendered due to not being satisfied with the results is not an effective way to address concerns and can disrupt treatment efforts and the therapeutic alliance. 

Communication Policy

Please feel free to contact your clinician(s) through the patient portal or as otherwise offered by your provider. Note that all members of your treatment team within our practice (therapist, psychiatrist, administrative staff) may have access to communications. Calls and texts are generally returned within 48 hours on weekdays, and usually within a business day.

In the event of a life-threatening psychiatric or medical emergency, please go directly to the nearest emergency room or call 9-1-1 rather than waiting for a call back. Please ask to have your clinician called once you are safely in the emergency room or safely en route. 

As noted above, we do not charge for brief contact (under 10 minutes total) between scheduled appointments as we do not want to discourage seeking help when necessary by attaching an extra cost to this type of contact. If communications require more than 10 minutes between appointments, we may ask you to schedule an appointment or charge you as noted above. Inappropriate communication outside scheduled appointments will either be addressed during our scheduled appointments or serve as grounds for discharge.

Note that emails, portal messages and text messages are considered part of the medical record.

Social Media Policy

Please note that we do not accept “friend” requests or follow patients or their family members on our personal social media accounts. If we were already following each other on social channels prior to meeting, that is an exception. We may maintain professional social media accounts and anyone in the general public can follow these accounts should they choose to do so. Note that by “liking” or following a professional social media account of the practice or its clinicians, others may be able to see that you follow it.

Please do not contact your clinician(s) via their professional social media accounts as these are not secure means of communication and may not be responded to in a timely fashion. Clinicians may, especially in the case of emergency, review any public social media content that you are associated with if it could be relevant to treatment and your well-being. However, in non-emergent situations, we will discuss social media content together should you choose to share that dimension of your life in treatment.

You may find our practice or providers listed on business review sites such as Google Reviews, Healthgrades, or the like. Note that we will not respond to reviews left on these sites about your care specifically due to confidentiality. If you have feedback about the care you have received, we encourage you to address that directly with us rather than on these. If you would like to write a review, regardless of whether it is positive or negative, we encourage you to create a pseudonym and not include any personally identifiable details in order to preserve your confidentiality. We are committed to ensuring that our patients receive appropriate medical care. 

Privacy Policy

BMH Psychiatry respects the privacy of our customers and business partners. We recognize the need for protections and management of personal information that is provided to us or accessed by us.  By accessing any BMH website, downloading any materials, purchasing products or services, or by providing any information to BMH, you acknowledge, fully understand these policies, consent to the information collection, and use practices described herein. If you do not agree to this Privacy Statement, do not use our services or websites.

Information We Collect And How We Use It

A. Types of Information

Information Logging. BMH may track and use information relating to website usage such as: Internet protocol address; kind of browser, operating system or computer used; number of links clicked within a website; state or country from which you accessed the site; date and time of your visit(s); name of your Internet service provider; web page(s) you linked to or from another website; and pages you viewed on a website.

Cookies. BMH may use cookies. A cookie is a small text file that is placed on your hard disk by a Web page server. Cookies cannot be used to run programs or deliver viruses to your computer. Cookies are uniquely assigned to you and can only be read by a Web Server in the domain that issued the cookie to you. One of the primary purposes of cookies is to provide a convenience feature to save you time. We link cookies to personal information on the site to make it easier for users to return to the site and to access the Site’s features.

BMH reserves the right to share aggregated site statistics with partner companies but does not allow other companies to place cookies on our website unless there is a temporary, overriding customer value (such as merging into BMH a site that relies on third-party cookies).

You can accept or decline cookies. Most Web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies. If you reject cookies by changing your browser settings, then be aware that this may disable some of the functionality on our Website.

Personal Information. Personal information is information that can be used to identify or contact a specific individual, such as a name, address, telephone number or email address. BMH may collect or access certain personal information from customers and business partners. Other than as set forth above, BMH does not collect personal information unless you choose to provide such personal information.
On BMH websites the types of personal information you provide to us may include name, address, phone number, e-mail address, user IDs and passwords, billing and transaction information, credit card or other financial information, contact preferences, educational and employment background, job interest data and benefit choices.

Testimonials. We post customer testimonials on our web site which may contain personally identifiable information such as the customer’s name. We do obtain the customer’s consent prior to posting the testimonial to post their name along with their testimonial. If you want to remove your personal information that is being displayed on our website under public pages, please send your request to through our Contact Us page.

B. Use of Information

Except as described in this Privacy Statement, we will not disclose your personal information outside of BMH and its subsidiaries and affiliates without your consent. We do not sell, rent, or lease personal information or our customer lists to third parties. We use all the information we collect to provide and enhance the products, services, and information you request and to contact you regarding our products and services. This may include: billing and other accounting purposes; establishing accounts and contacting you regarding important information about your account, including notices and updates; display of personalized content and advertising; informing you of other products or services offered by BMH and its affiliates; sending you relevant survey invitations; providing you with additional materials regarding BMH products and services or to connect you with a BMH representative, if necessary; responding directly to your questions, comments or requests for support; analyzing site usage, to improve and customize our web sites and products and service offers, and to improve our marketing and promotional efforts; compiling; and enforcing our agreements with you. The information we collect may be combined with information obtained from other sources and other companies. We may compile, sell, and otherwise use for any purpose non personal information relating to or arising from the capabilities, problems, successes, statistics, diagnostics, inventory, composition, configuration, performance (or lack thereof) of: (a) the Software or Services; (b) Authorized Machines or any network to which an Authorized Machine is connected; or (c) any software or hardware loaded on, comprising, or used in connection with or otherwise related to any of the foregoing.

In order to help provide our products, services, or information, we occasionally hire other companies to assist such as providing products or services, handling the processing and delivery of mailings, providing customer support, hosting websites, processing transactions, or performing statistical analysis of our services. Those companies will be permitted to obtain only the information they need to deliver the service. They are required to maintain the confidentiality of the information and are prohibited from using it for any other purpose.

We may access and/or disclose any information if we believe such action is necessary to: (a) comply with any law, judicial, proceeding, government request, court order, legal process, rule or regulation or any process served on BMH; (b) protect and defend the rights or property of BMH (including the enforcement of our agreements); or (c) act in urgent circumstances or emergencies. If BMH is acquired by or merged with a third party, we reserve the right, to sell or otherwise transfer the personal Information we have collected as part of that transaction provided that such third party continues to honor our Privacy Statement.

Communication Preferences And Choices

You can stop the delivery of promotional e-mail or BMH these choices do not apply to the receipt of mandatory product or service communications that are considered part of certain BMH products or services, which you may receive periodically unless you cancel the product or service. Furthermore, BMH does not require that you provide BMH with personal information. The decision to provide personal information is voluntary. If you do not wish to provide the personal information requested, however, you may not be able to proceed with the activity or receive the benefit for which the personal information is being requested.

Accessing And Changing Your Personal Information

You may have the ability to view or edit your personal information by visiting our Contact Us page , and we will contact you to enable you to access your information and the opportunity to change your information. To protect your privacy and security, we may require steps to verify your identity, such as a password and user ID, before granting access to your data.

Third Party Policies

Related offerings with links from BMH websites have their own privacy policies that can be viewed by clicking on the corresponding links within each respective website. We recommend and encourage that you always review the privacy policies of other third parties before you provide any personal information or complete any transaction with such parties.

Collection And Use Of Children’s Personal Information

BMH does not knowingly collect personal information from children. If BMH learns that we have personal information on a child under the age of 13, we will delete that information from our systems. We encourage you to talk with your children about communicating with strangers and disclosing personal information online.

Changes To This Statement

We reserve the right to modify this Privacy Statement at any time, so please review it frequently. If we make material changes to this policy, we will notify you here, by email, or by means of a notice on our home page. Your continued use of BMH products, services or websites or communication with BMH constitutes your agreement to this Privacy Statement and any updates.
